Scope: Global client engagement and sales operations across large, distributed enterprise teams
A global professional services organization relied on its CRM platform to manage client relationships, track opportunities, and support sales execution across a distributed workforce. However, maintaining accurate and timely CRM data remained a persistent challenge.
CRM updates depended heavily on manual input from client-facing teams, who prioritized client delivery over administrative tasks. As a result, account activity, pipeline status, and engagement history were often incomplete, delayed, or inconsistent.
This reduced visibility into pipeline activity, weakened forecasting accuracy, and limited the organization’s ability to respond to opportunities with speed and context. In a relationship-driven business, inconsistent data also disrupted continuity in client interactions and reduced confidence in enterprise-wide sales insights.
The challenge was not the CRM system itself, but the disconnect between where work happened and where data needed to be captured.
To address low CRM engagement and inconsistent data quality, Futran designed and implemented an AI-driven CRM transformation built on Microsoft Dynamics 365 Sales and Microsoft 365 Copilot.
The approach focused on embedding CRM directly into the flow of work rather than requiring users to operate within a separate system. By integrating CRM capabilities into Microsoft Teams and Outlook, the organization enabled users to capture, update, and act on customer data as part of their daily communication and collaboration workflows.
Sales Agent in Microsoft 365 Copilot automated the capture of client interactions, generated contextual summaries, and prompted users with recommended updates and next steps. This reduced dependency on manual data entry while ensuring that CRM records remained current and aligned with ongoing activities.
Copilot in Dynamics 365 Sales enabled conversational access to customer and pipeline data, allowing users to retrieve insights, understand account context, and evaluate opportunities without navigating complex interfaces.
Custom agents developed using Microsoft Copilot Studio introduced guided execution across the sales lifecycle, supporting lead progression, reinforcing relationship continuity, and enabling consistent engagement practices across distributed teams.
This transformation repositioned CRM from a static system of record into an AI-assisted system of engagement, enabling real-time visibility, improved data accuracy, and more effective sales execution.
To operationalize AI-driven CRM engagement at scale, Futran executed a structured transformation approach aligned with enterprise workflows and behavioral adoption:
Established a unified and governed data model within Dynamics 365 Sales to ensure consistency in account, relationship, and pipeline data across global teams, eliminating fragmentation and improving data reliability
Re-architected CRM interactions by embedding Dynamics 365 Sales and Sales Agent capabilities directly within Microsoft Teams and Outlook, aligning CRM usage with existing communication and collaboration workflows
Enabled automated capture and transformation of meetings, emails, and communications into structured CRM records using Microsoft 365 Copilot, reducing manual effort and improving data accuracy at scale
Implemented Sales Agent and custom Copilot Studio agents to guide lead progression, recommend next-best actions, and reinforce consistent client engagement across the sales lifecycle
Enabled natural language interaction with CRM data through Copilot in Dynamics 365 Sales, allowing users to retrieve insights, analyze pipeline status, and understand account context without dependency on traditional interfaces
Designed the CRM experience around how users already work, reducing friction in data entry and enabling sustained adoption across distributed teams without requiring process-heavy change management
The transformation of CRM into an AI-driven, workflow-integrated system significantly improved data reliability, operational efficiency, and sales execution across the organization.
Automation of interaction capture and AI-assisted updates eliminated repetitive data entry, allowing teams to focus on higher-value client engagement activities
Integration with Teams and Outlook ensured CRM data was updated as part of daily workflows, significantly improving data timeliness and accuracy
AI-driven structuring of interactions reduced data gaps across accounts and opportunities, strengthening the integrity of enterprise CRM data
Embedding CRM capabilities within existing productivity tools minimized context switching and improved workflow efficiency
Reduced administrative overhead enabled sales teams to spend more time on relationship-building and opportunity progression
More complete and timely CRM data enabled leadership to make faster, more informed decisions with greater confidence in pipeline health
