How an Enterprise Leader Deployed AI-Powered Detection to Stop Invoice Fraud Before It Reaches Accounts Payable

Client Name: Xcelerate Auto

Industry: Electric Vehicle(EV) Industry

Start Date: 05/15/2025

Business Challenge

Client’s claims process was largely manual, relying on email threads, document uploads, and human validation to assess service estimates, invoices, and warranty eligibility. This approach was time-consuming, error-prone, and created operational inefficiencies. Claims adjusters were required to verify documents such as paid invoices and chat screenshots, often submitted by customers, without a standardized method to detect tampering or ensure accuracy. The lack of automation and fraud detection logic increased the risk of false claims and delayed resolution timelines.

Objective

Client aimed to implement an AI Agent capable of analyzing submitted documents, validating VIN structure, and detecting fraud through formatting inconsistencies, altered fields, and image-level anomalies. The solution needed to generate a summarized claim view and fraud risk results for internal claim adjusters, replacing fragmented workflows with intelligent automation. This would reduce manual effort, improve consistency, and enable faster, more confident claim decisions.

Solution by Futran Solutions

  • Python backend with React-based frontend hosted on AWS for internal claims validation.
  • Integrated Claude 3 (AWS Bedrock) for fraud detection, summarization, and document reasoning.
  • Used AWS Textract, PdfPlumber, and PyMuPDF for automated document parsing and VIN/invoice validation.
  • Combined regex-based rules with AI to detect formatting inconsistencies and character mismatches.
  • Processed data was securely stored in AWS RDS, while raw and parsed documents were stored in Amazon S3.
  • React frontend enabled claims teams to review AI results, fraud highlights, and interact with the AI Agent.
  • Retrieval-Augmented Generation (RAG) ensured document-specific, evidence-backed AI responses.
  • Secure, centralized backend workflows reduced manual effort and improved fraud detection accuracy.
  • Managed Services – Monitoring & Optimization: Continuous performance tracking, anomaly detection, and system health checks to ensure reliability and responsiveness.
  • Managed Services – Cost & Compliance Management: Ongoing cost optimization, budget tracking, and compliance audits aligned with regulatory standards and AWS best practices.

Architecture Overview

Xcelerate

The architecture ensured high resilience by leveraging AWS-managed services that provided automatic failover, scaling, and availability. By combining serverless components, durable storage, and distributed compute, the system was designed to stay operational, responsive, and performant under both expected and unexpected conditions. This setup supported not only current usage but also future growth and regional expansion.

Key Workloads and Services Involved

  • Frontend: React-based claims review portal for internal adjudicators.
  • Backend: Python-based API for AI processing, document parsing, and data management.
  • AI & ML: Claude 3 via AWS Bedrock for fraud detection, summarization, and document reasoning.
  • Document Processing: AWS Textract, PdfPlumber, PyMuPDF for extracting and validating structured/unstructured data.
  • Data Storage:
  • Amazon S3 – Storage of raw documents, parsed files, and embeddings.
  • AWS RDS – Secure storage of claim data, AI results, and audit logs.
  • Search & Retrieval: RAG pipeline with vector embeddings for document-specific AI responses.
  • Security: AWS IAM for access control, VPC with private subnets, and security groups for service isolation.
  • Hosting & Compute: AWS EC2 for backend services and AI processing workloads.

Business Results

  • Fraud Detection Accuracy improved to 83%, reducing financial losses from false claims.
  • Manual Review Time was reduced by 65% through automated document parsing and AI-assisted validation.
  • Claim Processing Speed improved by 55%, cutting average adjudication time from 5 days to under 48 hours.
  • Customer Satisfaction increased by 30%, with faster and more consistent claim resolution.
  • Operational Consistency was achieved with standardized fraud detection rules and AI-driven analysis.
  • Audit Readiness was enhanced through centralized data storage, detailed fraud evidence, and traceable decision logs.
  • Scalability & Future-Readiness were ensured with AWS-based architecture supporting additional claim types and up to 3x higher document volumes.

Lessons Learned / Best Practices

  • Combine Rule-Based & AI Methods – Merging regex validation with AI reasoning produced higher fraud detection accuracy than Processing either approach alone.
  • Early Data Quality Checks – Validating document format and readability before AI processing reduced false positives and unnecessary retries.
  • Incremental AI Tuning – Iterative prompt engineering and model feedback loops improved Claude 3’s consistency in fraud analysis.
  • Secure-by-Design – Implementing VPC isolation, IAM least-privilege, and encrypted storage from the start simplified compliance readiness.
  • RAG for Contextual Accuracy – Embedding-based retrieval ensured the AI Agent’s responses were grounded in claim-specific documents, improving adjudicator trust.
  • Separate Frontend & Backend Layers – Using React for UI and Python for AI/processing provided flexibility for scaling and future technology upgrades.

Responsible and Ethical Generative AI Practices

Our company is committed to the responsible and ethical use of Generative AI.
We recognize both the transformative potential and the risks associated with AI, and we aim to deploy solutions that are accurate, fair, transparent, safe, user-centric, and environmentally sustainable. The following best practices guide our approach:

AI Ethics Policies

We ground our AI ethics policies in fairness, accountability, and transparency. Every AI initiative undergoes an internal ethical review to ensure compliance with laws, regulations, and industry standards. We commit to avoiding deceptive design, ensuring explainability in outputs, and maintaining accountability through audit trails and governance structures.

Bias Mitigation Strategies

Bias is a critical risk in Generative AI. To address this, we curate datasets with diversity across demographics, geographies, and contexts. We perform fairness audits during model development, apply debiasing algorithms, and continuously monitor outputs in production. Where biases are detected, corrective measures are deployed immediately, ensuring outputs remain equitable and inclusive.

User Consent Protocols

Respect for user autonomy is central to our approach. All Generative AI interactions are designed with explicit, informed consent. Users are clearly informed about how AI is used, what data is collected, and how it is processed. Opt-in and opt-out mechanisms are provided to ensure that users stay in control of their engagement with AI systems.

Transparency Reports

We commit to publishing regular transparency reports that detail model performance, known limitations, and updates. These reports include insights into system behavior, reliability metrics, and user feedback analysis. By disclosing this information, we build trust with stakeholders and provide visibility into how AI decisions are made and improved over time.

Safety Measures

Safety is prioritized to prevent harmful or inappropriate outputs. We integrate multi-layer safeguards including content filtering, toxic language detection, and human-in-the-loop moderation. When outputs have the potential to cause harm, escalation protocols ensure human reviewers validate or override AI-generated results before final use.

Sustainability Initiatives

Generative AI models can be computationally intensive, and we are committed to minimizing their environmental footprint. We optimize model efficiency through pruning, quantization, and lightweight architectures. We leverage green cloud infrastructure, prioritize renewable-energy-powered data centers, and adopt resource-sharing strategies to reduce carbon impact. Our long-term goal is to align AI innovation with global sustainability targets.
